Member and income |
|
Monthly capture of new members, member data changes (including exit dates), member contributions and fund payments (fees, premiums, reserves), either via payroll download or online |

Validation of member data according to fund rules and reporting of errors and warnings for viewing |
Validation is done per system fund rules and includes checks for: - mandatory data - eligibility - duplicate employees - valid income types - expected contributions |
Facility for employer to amend data |
Errors must be amended before monthly cycle can be completed. Warnings are for information - amendments can be made if necessary. The employer can: - correct/remove errors off-line and resend the payroll - correct/remove the errors online |
Facility for employer to link employee to company branch |
The company branch is not linked to a fund but to a participating employer, and all the branches linked to a participating employer will be available for linking to the employee within a pay centre. This enables additional security where certain branches (e.g. those containing the executives) are not available to all the payroll staff. |
Facility for employer to transfer employees to a different pay centre |
The pay centre from which the member is transferring captures the transfer out and the member is recorded in a report of pending transfers. The pay centre to which the member is transferring independently selects the member for transfer into the pay centre. This is done to allow for the pay centres processing different monthly cycles. For the same reason a member can also be transferred into a pay centre before being transferred out of another pay centre. The payroll automatically detects the transfers from one to another pay centre and processes them. Members can either be transferred individually or in bulk. |
Facility for employer to capture investment allocations for members or investment categories including life stage categories |
Members' investment allocations can be captured before completion of cycle. If no allocation captured for a new member the fund allocation or investment category default will be applied. Validation to ensure allocation = 100%. |
Facility for employer to allocate membership groups (categories/classes) for new members or change allocation for existing members |
A member must be allocated to a contribution membership group and benefit membership group. This enables the validation of the contributions to specific rules and to enable flexible benefit structures and choices for members. An optional investment membership group can be used to manage the investments, especially in the case of a fund that has both DC and DB members and annuitants. A medical membership group has been added to facilitate the management of medical aid premiums for pensioners. |
Facility for employer to capture temporary absence periods for members |
This is used in the calculation of service in the DB product benefit calculation. |
Facility for employer to capture beneficiary details for members |
The following details are recorded for each beneficiary: - surname - initials - date of birth - ID number |
Calculation of contribution to fee expenses as a percentage of salary bill or flat amount or percentage of contribution and inclusion in remittance advice or deduction from a designated contribution type |
The employer's contribution to admin fee expenses is calculated on the total salary bill (total actual earnings) according to the system admin fee percentage or flat amount per member and included as a total on the remittance advice or deducted from a designated contribution type. |
Calculation of contribution to risk insurance expenses as a percentage of salary or contribution or flat amount per membership category and inclusion at a fund level in remittance advice or deduction from designated contribution type |
The employer's contribution to risk insurance expenses is calculated per member according to the system membership group premium rate and summed at remittance advice level or deducted from a designated contribution type. The calculation can be based on a risk salary or actual earnings. |
Validation of contribution to the fund rules |
The facility to check the expected contributions to the contributions received. |
Facility for employer to capture additional fund income, e.g. reserve top-ups |
If income type is selected on the system for the fund, amounts can be captured when completing the remittance. The income types must be defined as remittance types and as editable. |
Authorisation by the employer of the remittance advice |
Once the remittance is completed it must be authorised by the employer. Authorisation is defined as a separate role from that of data capture. Both roles can, however, be assigned to the same user. There can be up to four authorisers. |
Member data updated monthly with next cycle opened ready for the employer to commence |
Once the remittance is authorised the member history records are updated and the next monthly cycle is made available to the employer to commence the next month's processing. |

Cancellation of benefit payment request |
At a point prior to authorisation of a claim, the employer can either cancel the claim completely or cancel it and re-initiate with a new benefit event. If the employer has authorised the claim and claims details have been captured incorrectly or the claim must be cancelled, the employer will have to contact the administrator to cancel the claim. |
