This functionality enables users to communicate with other users or with Clients via e-mail. Typically this is the Back-Office communicating with the member.
To create an e-mail for a service request, highlight the service request on the JU7AB Work Management List screen and select Communicate from the sub-menu on the left.
The Communication Page screen will be displayed.
Capture data as follows:
Scheme Code |
The system will display the scheme code of the SR for which the e-mail is being sent. |
Member Reference |
Where the SR selected has a member reference number, this will be displayed in this field. E.g. Exits / Withdrawals, EFT Rejection, etc. |
Type of Communication |
The method of communication to be used.
Select E-Mail or SMS from the drop-down list.
Note: The Templates listed for selection under Standard Message Templates will differ depending on the type of communication selected. |
Enter Email Address |
The email address of the recipient.
Capture an e-mail address if no e-mail address is displayed.
Note: The Enter Email Address field is displayed when E-mail is selected from the drop-down list in the Type of Communication field.
Where the SR selected is for a member, then if the member’s e-mail address is stored on the Client Address Detail, it will be displayed in this field. The member’s e-mail address can be overridden and a different address can be captured. |
Enter Cellular Number |
The cellular number of the recipient.
Capture an cellular number if no cellular number is displayed.
Note: The Enter Cellular Number field is displayed when SMS is selected from the drop-down list in the Type of Communication field.
Where the SR selected is for a member, then if the member’s cellular number is stored on the Client Address Detail, it will be displayed in this field. The member’s cellular number can be overridden and a different cellular number can be captured.
Note: The system will read for a Cost Centre Value on Scheme Parameter EMDSCOSTCENTRE. If no Cost Centre is found, only the E-Mail Communication Type will be displayed. |
Subject |
The Subject of the email message.
The system will automatically display the appropriate subject when a Template is selected from the Standard Message Template list.
The subject displayed can be overridden and a different subject can be captured. |
Enter Email Address |
The e-mail address of the recipient. |
Subject |
The Subject of the e-mail message. |
Standard Message Templates |
Select the appropriate message template from the list.
Note: When the message template has been selected, pre-defined text will be displayed in the Message field.
The Templates listed for selection will differ depending on the selection made for Type of Communication |
Message |
The text of the e-mail message.
Note: The contents of the message is determined by the selection made in the Standard Message Templates field. |
Subject |
A custom subject for the message that replaces the subject set by the template. |
Message |
A custom message that replaces the pre-defined message text set by the template. |
