From the Income menu, select Auth Batch from the sub-menu on the left. The Authorise/Reject Batches screen will be displayed.
The CONTRIBUTION RECEIVED DATE and INVESTMENT DATE are used for the calculation of the late payment interest, and will default to the current date. If different dates are to be used for the calculation of interest, these dates can be changed.
To view the Checklist, click on the tick box to select a single batch and click CHECKLIST.
The Checklist allows the user to tick off a step in the process as and when it is completed.
The following screen displays a list of Checklist items with a tick box for the Doer and the Authoriser.
If CHECKLIST is selected but none of the batch tick boxes were selected, the following message will be displayed:
No batches selected. Only one batch must be selected to continue with Checklist.
Click OK to remove the message. Select a single batch and click CHECKLIST.
If CHECKLIST is selected and more than one of the batch tick boxes were selected, the following message will be displayed:
More than one batch selected. Only one batch must be selected tp continue with Checklist.
Checklist processing
When the Checklist screen is opened, the system will retrieve and display the data as per the Document Template, i.e. display the Heading and row per checklist item containing the text, tick box indicator, Date and Timestamp, and User ID.
If any item has been ticked previously then a value of Y will appear in the Tick column, the date and timestamp it was ticked in the Date column and the User ID of the person who ticked the item in the User ID column.
The data will be enabled for update.
Note:
If an item was ticked and then subsequently un-ticked, the Date and Timestamp will indicate that it was previously ticked and subsequently un-ticked. The Date and Timestamp will be that of the date and time it was un-ticked and the User ID will be that of the person who un-ticked it.
If the batch is incorrect, click REJECT. The status for the batch will become REJECTED.
To cancel any selections made on the screen, click RESET.
To view results of the batch run, click view results in the Action column. The Status/Results of Batch Processing screen will be displayed.

The BT/EFT Effective Date field can be changed to an earlier date or a date up to one month later.
Note:
During the authorize process, this date will be utilized to reflect the transaction date for the income transactions that are created to the member's account. This transaction date will be used to determine the unit price, which is used in the calculation of the number of units that will be purchased to the value of the income transactions.
When changing the BT/EFT Effective Date field, the following pre-requisites apply:
- The user must have the necessary security access for this action
- The EFT Required? selection on the Select Batch for Processing screen must be NO.
- The first part of the accounting period must still be open.
To authorise the batch, tick the relevant check box, then click AUTHORISE. A confirmation message will be displayed.
Click OK to continue. The authorised item will be removed, and a message at the top of the screen will indicate that the output is in progress, and the output number will be displayed. This is the identity of the files submitted.
If a date change was made, confirmation message will be displayed.
Click OK to confirm the date change, or click CANCEL to cancel the change.
The capture of the BT/EFT Effective Date field will only be enabled if the EFT Required? selection on the Select Batch for Processing screen is NO. If EFT Required? is YES and an attempt is made to change the date, an error message will be displayed.
Return to the previous screen, then process the batch using the current date. If the date is not changed, the batch will be processed using the current date.
If the user does not have the necessary security access to change the date, the following error message will be displayed:
Return to the previous screen. You will need to get the required security before being able to re-process the batch using the changed date. If the required security is not obtained, you will only be permitted to process the batch using the current date.

In order to allocate the required security, the user must be allocated to the user group called BAK_INC BACKDATED INCOME TRANS. Refer to

If the first part of the accounting period is closed, the following error message is displayed to notify the user that the particular date entered may not be used. This is because no transactions can be entered into an accounting period which has already been closed by the scheme accountant. Refer to

Return to the previous screen, then process the batch using the current date.
The Authorise/Reject Batches screen will be displayed.
The screen in the above example shows that the authorisation is in progress. To verify that the batch has been authorised, from the Income menu, select Auth Status. The Status/Results of Authorisation Processing screen will be displayed.
If the value SUCCESSFUL appears in the Status column for the batch job, then the authorisation has been successful.
As an alternative way to view whether the authorisation was successful, from the Income menu, select Batch Status. The Status/Results of Batch Processing screen will be displayed.
If the value AUTHORISED appears in the Status column for the batch job, then the authorisation has been successful.
