Authorisation rules can be set up at a global level and optionally at a product level as well. Where rules are not set up at a product level, the global rules will be applied.
This is catered for by authorisation rules templates that can be linked to any number of product s.
Separate authorisation rules can be set up for the following processes:
- Benefit Payments
- Accounting
The accounting authorisation rules are applied to all accounting journals, i.e. payment instructions as well as all other journals.
The accounting activities that can be processed manually are linked to an authorisation rules template. This allows the different authorisation rules to be applied to different types of manual transactions, e.g. investment transactions or manual benefit payment transactions.
The ability to process manual journals for any other processes is disabled, which means that it will always be possible to identify from the process which journals were created manually. It also means that the authorization of certain types of journals can be restricted to users with a specific level of authorization.
From the System Rules menu on the top, click alongside Authorisation on the sub-menu on the left. Additional options will be displayed.
Click Authorisation Rules Templates below Authorisation. The JU3FC Authorisation Rules Template List screen will be displayed.
To search for a template, click SEARCH. The JU3FC Template Search screen will be displayed.
Capture a template number and / or select an authorisation type from the drop-down list and click OK. The data requested will be displayed on the JU3FC Authorisation Rules Template List screen
To view the details of an authorisation rules template, select a line and click OPEN. The JU3FC Authorisation Rules Template Detail screen will be displayed.
To add a new authorisation rule template, click NEW on the JU3FC Authorisation Rules Template Detail screen. The JU3FC Authorisation Rules Template Detail screen will be displayed.

Once the data has been captured, click OK. The details captured will be displayed on the JU3FC Authorisation Rules Template List screen.
To authorise an authorisation rule template, select a line on the JU3FC Authorisation Rules Template Detail screen and click AUTHORISE. The user ID of the authoriser will be displayed in the Auth User Id column and the Datetimestamp for the authorisation will be displayed in the Auth Timestamp column.
In order to quickly move from the JU3FC Authorisation Rules Template List screen under the Authorisation Rules Templates to the JU3AM Authorisation Rules screen under Authorisation Rules, select Authorisation Rules from the sub-menu on the left.
Once a template has been created, the template must be linked to authorisation rules.
From the JU3FC Authorisation Rules Template List screen, highlight a template that has not been authorised yet and select Link to Authorised Rules from the sub-menu on the left.
The JU3FD Authorisation Rules Template Association screen will be displayed.
Highlight a template in the Potential Authorisation Rules column and click INSERT to move it to the Selected Authorisation Rules column. The selected template will be displayed in the Selected Authorisation Rules column.
To remove an element from the Selected Authorisation Rules column, highlight the template and click REMOVE. The selected template will be displayed in the Potential Authorisation Rules column.
Select Close on the menu on the left to return to the JU3FC Authorisation Rules Template List screen.
When the template is linked to a product, the template structure is only referenced by the product association. This means that many other product s can refer to the same template.
From the JU3FC Authorisation Rules Template List screen, highlight a template that has been authorised and select Link to Schemes from the sub-menu on the left.
The JU3FE Authorisation Rules Template/Scheme Association screen will be displayed.
Capture the full code or the first part of the code (if known), and click SEARCH. If the code is valid, the scheme code will be displayed at the top of the list. If part of the code was captured then the first occurrence of the code based on the first characters captured, will be displayed at the top of the list.
Example:
If 60 was captured, then all occurrences of scheme codes starting with 60 will be displayed in descending order.
If the code captured is not valid or no scheme code has been captured, a list of all scheme codes and scheme names in descending order will be displayed.
Highlight a scheme in the Potential Schemes column and click INSERT to move it to the Selected Schemes column. The selected scheme will be displayed in the Selected Schemes column.
To remove a scheme from the Selected Schemes column, highlight the scheme and click REMOVE. The selected scheme will be displayed in the Potential Schemes column.
To select all schemes, click INSERT. All schemes in the Potential Schemes column will be displayed in the Selected Schemes column.
Select Close on the menu on the left to return to the JU3FC Authorisation Rules Template List screen.
Once this has been setup, it can be accessed via Products > List > Parameters > Authorisation Rules.

Once a template has been created, it may be linked to a specific accounting activity.
From the JU3FC Authorisation Rules Template List screen, highlight a template that has not been authorised yet and select Link to Accounting Activities from the sub-menu on the left.
The JU3FG Authorisation Rules Template/Accounting Activity Association screen will be displayed.
Select a process from the Process drop-down list.
The following Processes will be displayed for selection:

Once a Process has been selected, the Accounting Activity field and the SEARCH button will be enabled.
Capture the accounting activity name or the first part of the name (if known), and click SEARCH. If the name is valid, the accounting activity will be displayed at the top of the list. If part of the name was captured then the first occurrence of the accounting activity based on the first characters captured, will be displayed at the top of the list.
Example:
If PA was captured, then all occurrences of accounting activities starting with PA will be displayed in alphabetical order.
Highlight an accounting activity in the Potential Accounting Activities column and click INSERT to move it to the Selected Accounting Activities column. The selected accounting activity will be displayed in the Selected Accounting Activities column.
To remove an accounting activity from the Selected Accounting Activities column, highlight the accounting activity and click REMOVE. The selected accounting activity will be displayed in the Potential Accounting Activities column.
To select all accounting activities, click INSERT ALL. All accounting activities in the Potential Accounting Activities column will be displayed in the Selected Accounting Activities column.
Select Close on the menu on the left to return to the JU3FC Authorisation Rules Template List screen.
