Age Related Rebates (Income Billing)

This is a set of control records that have been loaded for the JU3EP Loading of Age Related Rebates batch run, as a result of the file being loaded. 

 

Generate

This facility allows you to select the members that must be included / excluded in the final authorisation of members, for the processing of these rebates.

 

From the Income Billing menu, click  alongside Age Related on the sub-menu on the left.  Additional options will be displayed.

 

 

Click Generate below Age Related.  The Age Related Rebates Generate screen will be displayed.

 

 

This screen displays a list of control records that will be created by the JU3EP Loading of Age Related Rebates batch job.

 

The following columns are displayed:

-  Sequence Number

-  Date of Payment

-  Scheme Code

-  Run Type

-  Status

-  Date Processed

-  Action

 

To view details of this data, select the display hyperlink in the Action column.  The Age Related Generate Detail screen will be displayed.

 

 

The following columns are displayed:

-  Surname

-  Initial

-  Reference Number

-  Rebate Amount

-  Due Date

-  Additional Amount

-  Incentive Additional Amount

-  Total

-  User ID

 

If any members that are listed should be excluded, tick the box alongside the member. 

 

 

To exclude members who have been identified for exclusion, i.e. ticked, click EXCLUDE SELECTED.  The following warning message will be displayed.

 

Are you sure you want to Update selected records to zero?

 

 

Click OK to update the selected member records to zero.  Click CANCEL to remove the message.

 

In order to exclude all selections from the run, click EXCLUDE SELECTED.  A warning message will be displayed.

 

Are you sure you want to Update All records to zero?

 

 

Click OK to update all member records to zero.  Click CANCEL to remove the message.

 

Click RESET to reset all ticked boxes back to blank.

 

Click GENERATE process the batch.  If one or more member has been selected for exclusion, i.e. ticked, but EXCLUDE SELECTED has not yet been selected, a warning message will be displayed.

 

Warning – Selected records have not yet been updated.  Do you wish to ignore this request?

 

 

Click OK to ignore the request, i.e. any ticked members will be included.  Click CANCEL to remove the message.  You will have the option to confirm the exclusion of any ticked members by selecting EXCLUDE SELECTED, or un-ticking these members, before selecting GENERATE again.

 

When GENERATE is selected, a warning message will be displayed.

 

Are you sure you want to generate this selection?

 

 

Click OK to confirm that the batch must be generated.  Click CANCEL to remove the message.

 

In order to reject the whole run, i.e. all members, click REJECT.  A warning message will be displayed.

 

Are you sure you want to Reject this run?

 

 

Click OK to confirm that the whole run must be rejected.  Click CANCEL to remove the message.

 

The batch will be processed.  This will place the members in a pre-authorised state.  The investment split will be calculated and pre-authorised business transactions (BT’s) will be created for each membership with the income type ARR and portfolio for the investment BT’s.

 

Authorise

This facility allows you to to view the pre-authorised transactions and authorise them.

 

From the Income Billing menu, click  alongside Age Related on the sub-menu on the left.  Additional options will be displayed.

 

 

Click Authorise below Age Related.  The Authorise screen will be displayed.

 

 

Select a scheme from the drop-down list.  The Authorise screen will be displayed.

 

 

To view the accounting transactions that will be generated once authorisation has taken place, click on the Acct Trans hyperlink in the Action column.  The Accounting Transactions screen will be displayed.

 

 

To return to the Authorise screen, click BACK.

 

To select the batch that you want to submit for authorisation, tick the boxes alongside the batch, and then click AUTHORISE

 

 

A warning message will be displayed.

 

Are you sure you want to Authorise selected records?

 

 

Click OK to authorise the selected batch.  The business transactions will be created. 

 

Note:

The same authorization rules as per manual accounting activity journals will be applied.

 

Click CANCEL to cancel authorisation and remove the message.

 

Reject

To select the batch that you want to reject for authorisation, tick the boxes alongside the batch, then click REJECT

 

A warning message will be displayed.

 

Are you sure you want to reject selected Expenses?

 

 

Click OK to reject the selected batch.  Click CANCEL to cancel authorisation and remove the message.

Note:

The fund accounting transaction is based on the assumption that the deposit of the amount received will be recorded in the CONTRECVABLE account.  Should this not be the case the accounting rule can be set up as required.
